Applied Systems Integrates AI Directly into Epic, Automating Agency Workflows
A major player in the insurance industry has taken a significant step towards streamlining agency operations. Applied Systems has introduced a native artificial intelligence layer within its flagship platform, Applied Epic, at its recent conference in Washington, D.C. This new addition, dubbed Epic Conductor, aims to automate workflows across the entire policy lifecycle from within Epic itself, rather than addressing individual tasks in isolation.
The most notable benefits for day-to-day agency operations are seen in data entry and policy verification. Epic Conductor extracts relevant information from carrier documents, including declarations pages, applications, and submissions, and writes it directly back into Epic. This process cuts down on manual data entry by more than 50 percent, with every action logged automatically to track errors and omissions.
The platform also provides real-time quote comparisons, allowing agencies to easily identify discrepancies between quoted and actual coverage. Furthermore, every bound policy is checked against the original quote for accuracy, ensuring that clients receive the correct level of protection. Coverage gaps and missing endorsements are flagged for review, streamlining the process and reducing potential risks.
A recent survey conducted by Ivans found that 74 percent of agents identified rekeying risk data across carrier portals as their top pain point. This is a significant issue, as submission friction has become a major factor in where independent agents place business. By automating this process, Epic Conductor aims to alleviate some of the burden on agencies and improve overall efficiency.
The financial operations module within Epic Conductor connects invoicing, accounts receivable, trust accounting, and general ledger close into a single process tied to policy records. Reconciliation for direct bill, agency bill, and bank statements runs automatically, with human review built in as a checkpoint to ensure accuracy.
In addition to its data entry and financial capabilities, Epic Conductor’s connected trading module routes commercial new business and remarketing submissions through a single AI-powered workflow. Status tracking, carrier quotes, and submission gaps are all managed within the platform, eliminating the need for manual intervention. Small commercial quoting can even be initiated from email, with relevant information extracted and routed to carriers directly.
Applied Systems’ chief product officer, Lance Williams, emphasized the company’s goal of connecting work that currently moves in disconnected steps. ‘Our ambition is to apply AI to do what nobody else can: connect the work that moves from operations to finance and trading teams and out to carriers all in one connected system,’ he said.
The industry has been cautious about how quickly AI can deliver returns on investment, with some executives suggesting a 12-18 month window for productivity gains before revenue growth becomes a focus. Applied Systems’ launch of Epic Conductor coincides with this timeline, as agencies are still working out what kind of AI investment pays off first.
